Information on the processing of personal data in accordance with Article 13 of the General Data Protection Regulation (GDPR)

Purposes of and legal basis for the processing

a) The personal data related to the assessment of study programmes or courses are processed for the purpose of fulfilling of the legal task of quality management as well as the assessment and the further development of the survey tools. The legal basis for data processing in this respect is Art. 6 para. 1 lit. c), e) GDPR in conjunction with section 9 subsection 1 of the Thuringian Higher Education Act (Thüringer Hochschulgesetz, ThürHG).
Pursuant to section 9 subsection 2 sentence 1 ThürHG, you are obliged to cooperate in the processing of data for the purposes as referred to in no. 3(a), in particular by providing the required information.

b) Furthermore, demographic personal data such as gender, mother tongue, and having a part-time job are processed in order to fulfil the equality and diversity mandate by analysing whether certain parts of the population are suffering from structural disadvantages during their studies. The legal basis for processing in this respect is Art. 6 para. 1 lit. c), e) GDPR in conjunction with section 5 subsection 7 and section 6 ThürHG.

c) In addition, personal data, in particular email addresses, are processed for the purpose of contacting you, e.g. in the context of sending invitations to further online surveys. The legal basis for the processing of data in this respect is your consent in accordance with Art. 6 para. 1 lit a) GDPR. You will not suffer any disadvantages if you do not give your consent. You may withdraw your consent at any time.
If you withdraw your consent, the lawfulness of data processing before the withdrawal of consent is not affected. Email addresses are stored in a separate database in such a way that there is no possibility to link them to other personal data and assessments of the study programme.

d) Furthermore, the personal data provided in a)—b) may be processed to answer research questions in the area of educational research. The legal basis for the processing of data in this respect is Art. 6 para. 1 lit c), e) GDPR in conjunction with section  5 subsection 1 ThürHG.

 

Recipients of your personal data

Personal data provided for the purposes stated in lit. a)—c) will not be disclosed to other natural or legal persons, authorities, institutions, or other bodies.
Personal data provided for the purpose stated in lit. d) may be disclosed to researchers at other universities, publishers, or other academic institutions.

Within the University of Jena, your personal data provided in study programme evaluations will be forwarded to the deans for student affairs and their staff, the subject-specific academic advisors, and the Office for Quality Development in Teaching and Studying in anonymized form as part of a report. Parts of the results may be submitted to specific institutions of Friedrich Schiller University Jena in the form of separate reports in order to provide support in answering specific questions. Furthermore, on the website of the Central Office for Teaching Evaluation, overall reports are published internally. These summarize the results for types of degrees, for example, all study programmes leading to the degree Master of Science.

Personal data provided in course evaluations are made available within the University of Jena in anonymized form as part of a report to the lecturer.

In the case of surveys of the Faculty of Economics and Business Administration, the Faculty’s evaluation officer will evaluate the data collected automatically and present them in aggregated form in a report. The Central Office for Teaching Evaluation will publish a summary of free-text answers in a second report. Both reports are made available to the teacher by the staff of the Central Office for Teaching Evaluation. There will be no possibility to trace back answers to the person that has provided them.

 

Duration of the storage of the personal data

The University of Jena is subject to several retention and documentation obligations. As long as the provisions of the law demand it, the University will continue the processing of the data. Your data will be processed until the respective purpose has been fulfilled.

 

Rights of the data subjects

Pursuant to the GDPR, you are entitled to the following rights under the conditions specified in the law:

  • right of access (Article 15 GDPR)
  • right to rectification (Article 16 GDPR)
  • right to erasure (Article 17 GDPR)
  • right to restriction of processing (Article 18 GDPR)
  • right to data portability (Article 20 GDPR)
  • right to object (Article 21 GDPR)
  • right to lodge a complaint with a supervisory authority (Article 77 GDPR).
